Bank statement processing is the unglamorous foundation of every cash-based due diligence engagement. Before any analysis can happen, someone has to extract the numbers from the PDFs. For a multi-site business with dozens of accounts over a 36-month trailing period, that means hundreds of statements, tens of thousands of transactions, and days of data entry before the real work begins.
The Scale Problem in Multi-Entity Due Diligence
Most accounting software produces clean GL exports. Bank statements don’t work that way. Each bank has its own PDF format, column layout, and pagination structure. A business with 36 locations banking at multiple institutions might have statements from five or six different banks — each formatted differently. Manual extraction means teaching an analyst to read each format, then having them key in data that already exists in a machine-readable source.
At scale, this creates serious capacity constraints. A mid-market operator with 36 accounts over 12 months needs 431 statements processed just for a one-year analysis. A 36-month TTM engagement means 1,000+ documents. At two to three hours per statement batch, you’re looking at weeks of data preparation before the first number is analyzed.
How QoEAgent Processes Bank Statements
QoEAgent’s Bank Statement Import agent accepts PDF statements in bulk — drag-and-drop upload, organized by account or uploaded as a flat batch. The AI parses each document regardless of bank or format, extracting opening balances, closing balances, individual deposits, and withdrawals at the transaction level. Output is a structured dataset indexed by account, period, and transaction type.
In a recent engagement covering a 36-location convenience store chain, the platform processed 431 bank statements from 36 accounts across multiple banking institutions. The system extracted 29,823 individual transactions, verified beginning-to-ending balance continuity across all periods, and flagged any statement where the extracted balances didn’t match expected values. Total processing time: hours, not weeks.
Verification Built Into Every Statement
Raw extraction isn’t enough — the extracted data has to be verified. QoEAgent compares each extracted beginning balance to the prior period’s extracted ending balance across every account, creating a continuous verified chain of custody for cash flows through the entire analysis period. Any gap or mismatch in that chain is flagged immediately.
The platform also cross-references extracted deposit totals against GL-reported revenue by period and location. When extracted bank deposits materially differ from GL-reported revenue, the variance is surfaced as a potential revenue quality issue — exactly the kind of signal that changes a deal valuation.
Multi-Bank, Multi-Format, No Configuration Required
One of the persistent frustrations of manual bank statement processing is that every bank formats its PDFs differently. Chase, Wells Fargo, Bank of America, regional community banks — each has its own layout, column structure, and transaction coding. QoEAgent’s extraction model has been trained on hundreds of bank statement formats and handles format variation automatically. Analysts don’t configure templates or map columns — they upload and review.
For businesses banking at multiple institutions, this means a single workflow handles the entire statement set regardless of source. The output is a unified, standardized dataset that treats all transactions consistently regardless of which bank produced the original statement.
From Statements to Due Diligence Insights
Processed bank statement data integrates directly with QoEAgent’s cash reconciliation and revenue analysis modules. Once statements are processed, the platform can automatically generate a proof-of-cash reconciliation, a revenue seasonality analysis, a deposit concentration report by location, and a cash flow bridge for the full analysis period — all from the same source data, with no additional manual work.
